How to Configure Visio 2003 to Letter-Sized Paper

Microsoft Visio is an effective diagramming and charting tool. There are instances when you may need to present your diagram in its entirety but keep it to a single page or have the diagram logically break across two or more 8.5 inch by 11 inch sheets of paper. Many printers today can print on letter-sized paper or, at most, 11 inch by 14 inch paper.

      Open the Visio 2003 file with your drawing or diagram and determine how your document will print by choosing "View" and "Page Breaks" from the main menu. You can adjust the drawing's orientation by changing the printer preference from "Portrait" to "Landscape" if the drawing appears too wide, or select "Portrait" if the drawing appears too narrow. Changing this aspect may give it more room. Change the orientation by selecting "File," "Page Setup" and "Page Size." Select the "Custom Size" option, then click "OK." The view will show how your drawing will print. If the entire drawing is within the gray lines, it will print on a single 8.5 inch by 11 inch paper --- go to Step 4. If it does not fit, continue to Step 2.

      Reduce the size of your drawing to fit on the page by clicking "Ctrl" and "A," then holding down the "Shift" key and dragging the corner of your document to a smaller scale. You will maintain the drawing's proportion by using the corner handles to resize the drawing. With the entire drawing still selected, directly position your mouse cursor anywhere on the surrounding green dashed lines. The cursor will change to a cross with directional arrows. As this occurs, hold down your left mouse button to move the entire drawing anywhere within the page. You can precisely center the drawing by choosing "Shape and "Center Drawing" from the main menu.

      Save the drawing by clicking "File" and "Save" or "Save As."

      Print your drawing by pushing the "Ctrl" and "P" buttons.
